Privacy Policy
Last updated: June 2, 2026
This policy explains how cloutsites.com handles information when you visit the
site, use the client intake flow, or contact us. The site serves two purposes: the
CloutSites LLC consulting business and Mason Potter's
engineering portfolio and résumé.
Who we are
CloutSites LLC is a web and technology consulting company based in Oklahoma City, Oklahoma.
Mason Potter is the founder. For privacy questions or inquiries about this website, email
masonpotter1@gmail.com.
What this policy covers
- Visitors browsing the home page, CloutSites business pages, and Mason's portfolio or résumé
- People who submit a project inquiry through the intake form (mailto flow)
- People who email us or use links to LinkedIn or GitHub from the site
It does not replace a separate agreement, statement of work, or data-processing
terms for paid client work. Those are handled in contracts and project-specific discussions.
Information we collect
Information you choose to give us
-
Intake form: The client intake on CloutSites runs in your browser and opens
an email draft to our team. We receive whatever you put in that email (name, email, project
description, and the path you selected). Nothing is stored on our servers by the form itself
today.
-
Direct contact: If you email us, we keep your message and contact details so
we can reply and, if relevant, scope or deliver work.
Information collected automatically
-
Analytics: We use privacy-oriented hosting analytics (for example, Vercel
Analytics) to understand aggregate traffic—such as page views, referrers, and general
performance—not to build advertising profiles.
-
Technical logs: Our hosting provider may log standard request data (IP
address, browser type, pages requested, timestamps) for security and reliability. We do not
use those logs for marketing.
We do not knowingly sell personal information. We do not run third-party ad trackers on this
site.
How we use information
- Respond to inquiries and run discovery for potential projects
- Operate, secure, and improve the website
- Understand aggregate usage so we can fix broken pages and improve content
- Comply with law or protect our rights when required
How long we keep it
Email and intake correspondence is kept as long as needed for the conversation, active
business relationship, or reasonable business records—then deleted or archived unless we must
retain it longer for legal or accounting reasons.
Analytics data is retained according to our analytics and hosting providers' policies, typically
in aggregated form for a limited period.
Sharing with others
We may share information only in these situations:
-
Service providers that help us host the site, send email, or run analytics,
under terms that limit their use of your data
-
Legal requirements if we believe disclosure is required by law or to protect
safety and rights
-
With your direction—for example, when you ask us to integrate a tool you
control as part of a client project
Client and project work
When you hire CloutSites, you may give us access to your systems, accounts, customer data, or
other business information. That access is governed by your contract and project needs—not this
website policy alone. We use least-privilege access, avoid copying production data without a
reason, and discuss retention and security expectations during discovery.
Your choices
- You can browse without submitting the intake form or emailing us
- You can use browser settings or extensions to limit analytics cookies where applicable
-
You may ask us what personal information we hold about you from site contact and request
correction or deletion where reasonable
Children
This site is aimed at businesses and professionals. It is not directed at children under 13, and
we do not knowingly collect their information.
Changes
We may update this policy when our practices change—for example, if intake moves from mailto to
a server-side form or CRM. We will change the "Last updated" date at the top when we do.
This page is written in plain language for transparency. It is not legal advice. If you need
formal compliance documentation (for example, a DPA or vendor security questionnaire), contact
us during procurement and we will respond honestly about what we can provide.
